Privacy Policy

At Imprint of Life, I understand that your privacy and data protection are essential. That’s why I am registered with the Information Commissioner’s Office (ICO), demonstrating my commitment to upholding the highest standards in confidentiality and data handling. By following the ICO’s standards and legal requirements, I ensure that any personal information you share with me is treated with respect, care, and security. When you choose to begin your therapy journey with me, you can feel confident knowing that your trust and information are safeguarded every step of the way.

Privacy Notice...

To offer you the best support, I need to hold some personal information such as contact details and therapy records. This privacy notice outlines how your data is used and protected. I take your privacy seriously and aim to keep all information safe and confidential at all times. I comply with current data protection regulations, including the UK GDPR 2018, the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003. As a Registered Member of the British Association of Counsellors and Psychotherapists (BACP), I also adhere to their ethical standards regarding confidentiality and privacy.

Why I Collect Your Information...

Under GDPR, I must have a lawful reason to process your personal data. If you are currently a client, I collect your information to provide the agreed therapy service. If therapy has ended, I only retain the signed agreement and brief notes. If a Court requests notes from sessions, a report will be filed after collaboration with my supervisor. This is a rare occurrence in my practice.

How I Use Your Information...

Your information is only used to manage your therapy, such as booking sessions or providing follow-up resources. I retain your personal data only for as long as necessary and in accordance with ICO guidelines.

Initial Contact and Assessment...

When you first reach out for an assessment, I collect basic contact details like your name, address, phone number, email, emergency contact, doctors info (medical emergency only). This helps in confirming or rescheduling appointments and enables your safety should you fall ill, share immediate risk to yourself or others or share information around drug trafficking, money laundering and terrorism. Should you decide not to continue with therapy, your data will be deleted within one month unless you request earlier removal.

During Therapy...

With your consent, I may use your phone or email to confirm appointments, send reminders, or provide links to video sessions. I will only send therapy-related content—such as worksheets—if you agree. Our sessions are confidential. I follow BACP ethical standards, and would only break confidentiality in rare situations—such as if I believe there is a serious risk of harm or if required by law. I’ll always aim to talk with you first unless there’s an urgent risk that prevents that. (Children Act 1989, Terrorism Act 2000, Mental Health Act 1983, and Adults at Risk legislation).

Supervision and Session Notes...

As part of ethical practice, I attend regular supervision where I may reflect on our work, but your identity will remain protected. I keep brief, anonymised notes from our sessions for my use only. These are securely stored and kept separate from your contact information.

After Therapy Ends...

Some records need to be kept after therapy concludes. For example, therapy notes are retained for five years but remain anonymised. After that period, they will be securely destroyed. Your full personal details form will be destroyed after therapy ends, except for minimal identifying data (name, client reference number) required to match your records if needed in the future.

Sharing Information...

Your data is never used for marketing, research, or shared without your consent—except where legally necessary. For example, if your sessions are funded by a third party, I may share attendance information with them, but the content of sessions remains confidential unless you give explicit written permission. HMRC/an accountant may also see your name on bank statements to meet financial or tax obligations.

Data Security...

I take data protection seriously. My devices and communication tools are password-protected and secured with antivirus software. Unnecessary email correspondence is deleted within three months.

Website and Online Contact...

If you contact me via the website, the message is sent securely via email and is not stored elsewhere. The site may use cookies and tools like Google Analytics to anonymously track usage, helping me improve the experience for visitors.

Your Rights...

You have rights over your data, including accessing your information, requesting corrections, limiting its use, or asking for deletion in some cases. More information is available at ico.org.uk/your-data-matters. To make a request, contact me at contactiol@protonmail.com
